Microsoft OneNote is one of the most versatile tools included in Office 365. It is perfect for creating notes to stay organized and on task, but did you know it has many other features? We’ve rounded up seven of our favorite OneNote tips that will make you an expert in no time

1. Capture Audio and Video with OneNote

Using OneNote to record audio and video eliminates the need to use a 3rd party video editor. Simply click a location on the page in OneNote where you want to place the recording, and then do one of the following: 

  • To create an audio-only recording, click Insert > Record Audio. 
  • To create a video recording with optional audio, click Insert > Record Video 
  • Recording starts as soon as OneNote adds a media icon to the page. 
  • To end the recording, press Pause or Stop on the Audio & Video tab. 

2. Embed an Excel Spreadsheet

Including an Excel spreadsheet in your OneNote notebook is a great way to keep all your data in one place.  Keep in mind that changes you make to the spreadsheet in OneNote won’t appear in the original file in Excel. Likewise, if you change the original Excel spreadsheet, your changes won’t appear in the copy in OneNote. 

  • On the Insert tab, choose Spreadsheet > Existing Excel Spreadsheet. 
  • Find and click the file you want to add and choose Insert. 
  • Choose Insert Spreadsheet. 

3.  Take Organized Meeting Notes

There is nothing worse than taking notes in a meeting, only to find they are unorganized and confusing when you reference them later. The beauty of OneNote is that it is designed to keep you organized and on task when taking meeting notes. Our favorite way to use this feature is to link your OneNote meeting notes through Outlook. 

  • Start in Outlook and open the meeting item 
  • Select the Meeting Notes button between the Scheduling Assistant and the Respond buns. 
  • If you are not the meeting organizer, you cannot send notes to all the participants; however, you can still take notes on your own and share them. 

4. Link Within OneNote: 3 Ways

OneNote offers multiple ways to add links to your notebook pages, so you can link to files, the web, or even other locations in a OneNote notebook. 

 Link To Files 

  • Highlight the line of text that you would like to be linked 
  • From the top ribbon, select the Link button 
  • In the box that pops up, select the folder icon  
  • Select the file that you would like to link 
  • Click OK 

 Link To the Web

 If you paste content from the web, the source will automatically be added with a link, or you can link your own custom text. 

 To link your own custom text: 

  • Highlight the line of text that you would like to be linked 
  • From the top ribbon, select the Link button 
  • In the box that pops up, select the folder icon  
  • Select the file that you would like to link 
  • Click OK 

 Link To Other Notes 

 You may want to reference other OneNote sections, which you can do with a right-click action. 

  • Right-click the tab of the section that the link should point to. 
  • On the shortcut menu, click Copy Link to Section. 
  • The link to the selected section and the title of the section are copied to the Clipboard. 
  • Click the location on the page that is to contain the link. 
  • On the Edit menu, click Paste. 
  • OneNote inserts a link that, when clicked, displays the target section. 

5. Stay Organized With Subpages

Using the subpages feature allows you to organize a group of notes together. To do this, you will need at least two pages; one for the main page, and a page that will be the subpage. 

To make a page a subpage: 

  • Move the mouse pointer over the Page tab on the right side of the page. 
  • Drag the Page tab to the right until the title is indented. 

6. Create Section Groups

Section groups are ideal for keeping related sections together, allowing all your notebook tabs to fit on the screen.  

To create a section group, do the following: 

  • Open or create a notebook in which you want to create one or more section groups. 
  • Right-click any section tab, and then click New Section Group 
  • Type a name for the section group and then press Enter. You’ll see the new section group to the right of the section tabs near the top of the page. 

7. Email Your OneNote Page With One Click

After you have taken organized and top-notch notes using the tips above, you’ll probably want to share your notes with the world. OneNote makes it easy with the Email Page feature. 

  • On the top of the OneNote ribbon, click the Email Page button 
  • This instantly creates an email within Outlook with your notes in the body
